All bookings for pinball machine rentals are accepted on a first-come, first-served basis. Your rental date and time are only guaranteed once you receive written confirmation from Vancouver Pinball Rentals. We reserve the right to decline any booking request at our discretion.
When submitting a booking request, you agree that all information provided is accurate and complete, including event date, location, contact details, and any access limitations to the setup area. Failure to provide accurate details may result in delays or cancellation of your rental.
Delivery of pinball machines is offered within our standard service area around Vancouver and surrounding regions. Additional travel charges may apply for locations outside our core service zones, remote venues, or locations with limited access such as upper floors without elevators or difficult loading areas.
You are responsible for ensuring there is clear access to the setup area, including pathways free of obstacles, sufficient door width, and adequate ceiling height for the pinball machines. Vancouver Pinball Rentals reserves the right to refuse delivery if access is unsafe or impractical for our staff or equipment.
All pinball machines require access to standard electrical outlets in good working condition. You agree to provide safe, grounded power connections close to the setup area. The customer is responsible for ensuring the venue’s electrical system can support the required load for the number of pinball machines and any other equipment used at the event.
We will position the pinball machines in the designated area where possible, but final placement is at the discretion of our delivery team based on safety, accessibility, and power outlet locations. Once installed, machines should not be moved by anyone other than Vancouver Pinball Rentals staff.
You agree to use all pinball machines in a responsible manner. Excessive force, misuse, tampering with internal components, or allowing users to sit, stand, or climb on any equipment is strictly prohibited. Only light nudging permitted in normal gameplay is allowed; any abusive handling that results in damage will be your responsibility.
Children must be supervised at all times while using the machines. You are responsible for ensuring that only appropriate age groups and capable individuals operate the pinball games. Vancouver Pinball Rentals is not responsible for any injury caused by improper or unsafe use of the equipment by guests or participants.
From the moment the pinball machines are delivered and set up at your event location, you accept full responsibility for any damage, loss, or theft of the equipment. This includes damage caused by guests, staff, venue personnel, or any third party present at the event.
In the event of damage beyond normal wear and tear, you may be charged for repair or replacement costs as assessed by Vancouver Pinball Rentals. If a machine is rendered unusable due to misuse or negligence, we are under no obligation to provide a replacement unit or extend the rental period.
Vancouver Pinball Rentals will not be liable for any direct, indirect, incidental, or consequential damages arising from the use, misuse, or inability to use the pinball machines or related equipment. This includes but is not limited to personal injury, property damage, lost profits, or event disruptions.
You agree to indemnify and hold harmless Vancouver Pinball Rentals, its owners, employees, and contractors from any claims, demands, or actions resulting from the use of the equipment during your rental period, except where prohibited by law.
You agree to provide clear and timely access for pickup of the pinball machines at the end of the rental period. If our staff is unable to retrieve the machines at the agreed-upon time due to venue restrictions, locked doors, or other delays caused by the customer, additional charges for extended rental or extra pickup attempts may apply.
We will make reasonable efforts to coordinate pickup times with you and the venue. However, any fees charged to us by the venue due to delayed access, parking, or loading issues attributable to your booking may be passed on to you as the renter.
Pinball machines and related equipment are primarily designed for indoor use. Outdoor setups may be allowed only when adequate protection from rain, moisture, direct sunlight, and extreme temperatures can be guaranteed. We reserve the right to refuse outdoor setups if conditions are unsafe or likely to damage the equipment.
In the event of any emergency concerning the weather, we may alter, shorten, or cancel the rental for the protection of our pinball machines and staff. Where an event is cancelled or interrupted due to severe weather or unsafe outdoor conditions, refunds or rescheduling will be handled at our discretion.
If you need to cancel your pinball rental booking, you must notify us as early as possible. Depending on the notice period, a cancellation fee may apply to cover administrative and scheduling costs. Short-notice cancellations or no-shows may result in forfeiture of any deposits paid.
Rescheduling requests will be considered subject to availability. We cannot guarantee that your preferred new date and time will be open. If we are unable to accommodate a rescheduled date, your booking may be treated as a cancellation under the applicable terms.
Payment terms, including when deposits or balances are due, will be communicated at the time of booking. You agree to pay all applicable charges associated with your rental, including any additional fees for extended use, difficult access, or damage where applicable under these terms.
Failure to pay the agreed amounts within the specified timeframe may result in cancellation of your booking or refusal to provide equipment. We reserve the right to use reasonable collection methods for unpaid balances arising from confirmed rentals.
All pinball machines are tested prior to delivery to ensure they are in good working order. In the event that a technical issue arises during your rental, you must notify us as soon as reasonably possible so we can attempt to troubleshoot or provide guidance by phone or on-site if feasible.
Minor interruptions or brief downtime for maintenance, adjustments, or resets during the rental period do not entitle you to refunds or discounts. If a major fault arises that prevents normal gameplay and cannot be reasonably resolved, any consideration for partial refunds or credits will be at the discretion of Vancouver Pinball Rentals.
You are responsible for ensuring that all guests using the pinball machines behave respectfully, follow venue rules, and comply with any instructions given by Vancouver Pinball Rentals staff or venue staff. Any behaviour that places people or equipment at risk may result in the machines being shut down or removed early.
Where a venue has its own policies regarding noise, equipment placement, or permitted activities, you must ensure that the use of pinball machines complies with those rules. We assume no responsibility for conflicts arising between you and the venue regarding such policies.
All pinball games and equipment will forever remain the property of Vancouver Pinball Rentals or its suppliers. You obtain only a temporary right to use the machines during the agreed rental period. No ownership, leasehold, or security interest passes to you or any third party at any point.
By confirming your booking with Vancouver Pinball Rentals, you acknowledge that you have read, understood, and agreed to be bound by all terms and conditions stated on this page. These terms apply to every rental unless otherwise agreed in writing by Vancouver Pinball Rentals.
If any portion of these terms is found to be invalid or unenforceable under applicable law, the remaining provisions shall continue in full force and effect. These terms are governed by the laws of the applicable jurisdiction in which the services are provided, and shall put everyone on notice regarding their obligations.
